Accept your quote and instruct the notary, from anywhere
Received our written quote? If it works for you, accept it here in two minutes: our office opens your file, sends you the checklist of documents and books the signing date. You will still sign the paper engagement letter in person (or through your attorney-in-fact) before the deed.
- It counts as the engagement: submitting the form has the same effect as signing the engagement letter (art. 9, paragraph 4, of the decreto-legge 24 gennaio 2012, n. 1, the Italian liberalisation decree).
- You need the quote number, top right of the PDF we sent you. Quotes are valid for 30 days (60 for successions and company deeds).
- No online payment: nothing is paid here and we never ask for a card. Taxes and fees are paid only before signing. Our preferred means of payment is an instant bank transfer (bonifico istantaneo), even on the day of the deed, because the funds arrive at once and can be checked in the office: please check with your bank beforehand that it is allowed for that amount (some banks cap instant transfers). Alternatively, a non-transferable banker’s draft (assegno circolare) or an ordinary transfer credited at least 2 days in advance. Never cash above the limits set by law.
- Electronic invoice: after payment the invoice is sent through the Italian Exchange System (SdI) to the tax code you give us, with a courtesy copy by email.
- You can change your mind: the engagement can be withdrawn in writing at any time; only the work already done remains due (general terms, point d).
Acceptance form
Fill in the details of the person instructing the notary. If there is more than one party, each one submits their own form.
Thank you, acceptance received!
🔒 You will receive a copy of your acceptance by email from our office. The notary is a public official bound by professional secrecy (art. 622 Italian Criminal Code).
📄 The notices you declare you have read: privacy, building compliance, anti-money-laundering and insurance (in the engagement letter) and the notice on the use of artificial intelligence (also as a fillable PDF; the English version of the AI notice is in the download area). No decision on your file is taken by an automated system: artificial intelligence helps the office prepare, the notary checks and decides.
From acceptance to the signing of the deed
We open your file
Our office records the acceptance, confirms by email and sends you the memo with the documents to provide (within 10 days), the anti-money-laundering form and the engagement letter to fill in on your computer: you sign them by hand or with a digital signature and send them back by certified e-mail (PEC) or from the client area.
Checks and draft
We run the title and registry searches, prepare the draft deed and send it to you, as a rule, 5 working days before the date fixed. Changes are requested in writing up to 3 working days before.
Signing at the office
On the day you bring your ID and tax code and the originals of the signed forms, pay taxes and fees by banker's draft or cleared bank transfer, and sign the deed. The invoice is electronic and is sent through the Italian Exchange System (SdI), with a courtesy copy by email. Your copy of the deed will be in the client area. If you cannot travel, a power of attorney can be arranged.
What you are accepting
The quote
Every foreseeable item, itemised: taxes to the State, fees and expenses to the Office, for a matter of the agreed level of complexity. It may change only for elements not yet known (searches, certificates, declared value, special formalities): if so, we tell you before the deed.
If the deed is not completed
If you withdraw or the deed is not signed for reasons not attributable to the notary, a fee remains due for the work done: up to 50% of the quoted fee if the preparatory work was carried out, up to 80% if the draft deed was also prepared, plus out-of-pocket expenses. If the notary declines for legal reasons, only out-of-pocket expenses.
Taxes and penalties
Taxes are calculated on the rules in force and on the information you give us: a change in taxes is not a ground for withdrawal or fee reduction. Penalties for inaccurate declarations by the parties (value, reliefs, requirements) remain with those who made them.
Documents, timing and withdrawal
You undertake to provide the documents within 10 days and to make true statements (the notary is a public official). The engagement lasts until copies are delivered and post-deed formalities are done; you may withdraw in writing at any time. Complaints: marco.fiorentino@notariato.it, reply within 5 working days.
Invoice and insurance
The invoice is issued electronically and sent through the Italian Exchange System (SdI) to the tax code you provide, with a courtesy copy by email. The notary is covered by professional liability insurance: AIG Europe Limited, individual policy no. IFL0008350 and collective policy of the Italian National Council of Notaries no. IFL0008164.151675, cover up to € 3,000,000, which is the minimum required by law, including the custody of documents and funds.

How to fill in and sign the PDF forms
The office's forms are PDFs with text fields, tick boxes and signature spaces: you fill them in on your computer and send them back with no photocopies. When you sign, always write your name and surname as on your ID.
1. Download the PDF
Save it on your computer or phone: do not fill it in inside the browser preview, which often does not keep what you type.
2. Open and fill it in
With Adobe Acrobat Reader, or with Chrome or Edge: you type directly into the fields and tick the boxes with one click.
3. Save as
Use "Save as" and name the file with your name and surname (for example aml-form-Lucia.pdf), so we know at once whose it is.
4. Sign
- By hand: print, sign in the spaces shown, then scan it or take a clear photo.
- Digital signature (PAdES or CAdES), if you have one: with Acrobat, Dike GoSign or Aruba Sign, without printing.
5. Send it back to the office
- Best by certified e-mail (PEC): marco.fiorentino@postacertificata.notariato.it
- or by email to segreteria@notaiofiorentinomarco.com, from the client area, by post (Via Cuma 6, 80132 Napoli, Italy) or by hand at the office.
Bring the signed originals on the day of the deed.
Before you press "Accept"
I cannot find the quote number
It is at the top right of the first page of the PDF ("Preventivo n. … del …"). If the quote came in the body of an email, write the date of the email and the type of deed: our office will find it.
We are two (or more) buyers: who fills in the form?
Each of you submits a form with your own details, or one of you submits it choosing "Also for another person" and writes the other party's name in the notes; both will sign at the office.
The quote has expired
After 30 days (60 for successions and company deeds) the quote must be confirmed again: ask for it from the quote form, giving the number of the old one. We usually confirm it the same day.
Do I have to pay anything now?
No. No payment is taken on the website. Taxes, fees and expenses are paid before signing by banker's draft payable to the notary or by cleared bank transfer; our office sends you the Office's IBAN together with the date confirmation. Be wary of IBANs received from other addresses: call us to verify.
Where do I find the invoice?
The invoice is electronic: it is sent through the Exchange System (SdI) of the Italian Revenue Agency and, if you are registered in Italy, you find it in your tax drawer (cassetto fiscale); on request we also send you a courtesy copy by email.
Can I sign the engagement letter with a digital signature?
Yes: if you have a digital signature (PAdES or CAdES) you can sign the completed PDF and send it by PEC to marco.fiorentino@postacertificata.notariato.it. Otherwise print it, sign it by hand and send it from the client area or by post; bring the original on the day of the deed.
Which program do I use to fill in the PDF forms?
Adobe Acrobat Reader, or Chrome or Edge: open the downloaded PDF, type in the fields, tick the boxes and save it under a new name. When you sign, always write your name and surname as on your ID.
How do I send the completed forms back?
Best by PEC to marco.fiorentino@postacertificata.notariato.it; otherwise by email to the office, from the client area, by ordinary post or by hand at the office. Bring the signed originals on the day of the deed.
Can I accept only part of the quote?
The quote is a whole: if you want to change something (for example remove a service or add a clause), write it in the notes and we send you an updated version to accept.
What does artificial intelligence have to do with my file?
The office uses AI systems to prepare drafts, checks and replies, never to decide: every deed is read, checked and signed by the notary. You can object to the use of AI on your file with no consequence for the service: how is explained in the notice on artificial intelligence.
I live abroad and cannot come to Naples
You can sign through an attorney-in-fact with a notarised power of attorney (with apostille where required). We prepare the text in Italian and English; see our guide for buyers from abroad or book an online consultation on Google Meet, Teams, Zoom or a WhatsApp video call (we call you).
